This Privacy Notice explains how Linko Vectis Ltd ("Linko Vectis", "we", "us" or "our") collects, uses, shares and protects personal data when you visit our website at https://linkovectis.com or get in touch with us through it. We have written this in plain terms. If anything here is unclear, please contact us using the details below.

Linko Vectis Ltd is the data controller for the personal data described in this notice, which means we decide how and why your data is used.

We are registered with the Information Commissioner's Office (ICO), the UK's data protection regulator, under the reference above.

The Scope Of This Notice

This notice covers the personal data we collect through our public website: principally the contact form, the security check that protects it, and our optional website analytics. It does not cover any separate agreement you may have with us as a client (for example a Managed Website Plan), where additional terms may apply, nor third-party websites we link to but do not control.

What Data We Collect And Why

We keep data collection to the minimum needed to run the site and respond to enquiries. We do not require you to create an account, and we do not sell your data to anyone.

Contact Form Submissions

When you use our contact form, we collect:

  • Your name - so we know who we are speaking with.
  • Your email address - so we can reply to your enquiry.
  • Your company name - optional, provided only if you choose to.
  • Your message - the content of your enquiry.

We use this information solely to read, respond to and follow up on your enquiry, and to keep a record of our correspondence with you.

Spam Protection (Cloudflare Turnstile)

To stop automated abuse and spam, our contact form is protected by Cloudflare Turnstile, a privacy-respecting security check. As part of this check, Cloudflare processes technical information including your IP address and limited details about your browser and request, to confirm you are a genuine person rather than a bot. Turnstile is cookieless: it does not set advertising or cross-site tracking cookies. We only receive a pass or fail result, which our server verifies before accepting your message.

Website Analytics (Google Analytics, With Consent Mode v2)

We would like to understand, in aggregate, how people use our website so we can improve it. To do this we use Google Analytics, and we respect your choice. We operate Google Consent Mode v2, which means:

  • No analytics cookies are set, and no analytics tracking takes place, unless and until you opt in by accepting analytics in our consent banner.
  • If you decline, the site still works fully and we do not load Google Analytics tracking.
  • If you do consent, Google Analytics may collect information such as your approximate location (derived from your anonymised IP address), the pages you view, the time and duration of your visit, and general details about your device and browser.

You can change or withdraw your consent at any time (see "Cookies", below).

Technical And Server Data

Like most websites, our hosting provider automatically processes basic technical data needed to serve the site securely and reliably (for example IP addresses and request logs used for security, abuse prevention and diagnostics). This is a necessary part of operating any website.

Our Lawful Bases For Processing

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we must have a lawful basis for processing your personal data:

Who We Share Your Data With (Processors)

We do not sell your personal data. We share it with a small number of carefully chosen service providers ("processors") who help us run the website and respond to you. Each acts on our instructions and is bound by appropriate data protection terms.

  • Resend - our transactional email provider. When you submit the contact form, Resend delivers the resulting email to our inbox (from noreply@linkovectis.com to connect@linkovectis.com, with your address as the reply-to). Resend may process this email data outside the UK under the safeguards described in International Transfers and Safeguards below.
  • Cloudflare - provides the Turnstile security check that protects the contact form from spam and abuse.
  • Google (Google Analytics) - provides website analytics, but only after you have opted in.
  • Google (Firebase / Google Cloud) - provides our hosting platform. Our website is a static site served from a global content delivery network (CDN) on Google Cloud's network, so it loads quickly from the location nearest you; these static files hold no personal data. The secure function that processes your contact-form submission is managed in Google Cloud's London (UK) region.

We may also disclose personal data where legally required, for example to comply with a court order or a request from a regulator or law enforcement.

International Transfers And Safeguards

Some of our processors are based outside the United Kingdom, or may process data outside the UK, including in the United States. Where personal data is transferred outside the UK, we take steps to ensure it remains protected to the standard required by UK law, including:

  • transfers to countries the UK government has recognised as providing an adequate level of protection (an adequacy decision); and/or
  • the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, with any additional measures needed.

How Long We Keep Your Data (Retention)

We keep personal data only for as long as we need it:

  • Contact form enquiries: retained for as long as needed to deal with your enquiry and for a reasonable period afterwards (a default of 24 months from our last contact), after which we delete or anonymise it, unless we must keep it longer for a legal or contractual reason.
  • Security and server logs: retained for a short period for security and diagnostics, in line with our providers' standard practices.
  • Analytics data: retained in line with the period configured in Google Analytics (up to 14 months).
  • Consent records: kept for as long as needed to respect your preference and demonstrate compliance.

Cookies And Similar Technologies

A cookie is a small file stored on your device. We use as few as possible.

Strictly Necessary Cookies

We set one consent cookie that remembers your cookie choice. It is strictly necessary to respect your preference and to stop us asking on every page, so it does not require your consent, and it does not track you across other websites.

Analytics Cookies (Set Only After You Opt In)

If, and only if, you opt in through our consent banner, Google Analytics sets cookies to help us measure website usage. No analytics cookies are placed before you give consent. If you decline, none are set.

Managing Your Choices

You can accept or decline analytics cookies when you first visit, and you can change your mind at any time by clearing the consent cookie or your browser cookies. Withdrawing consent will stop further analytics collection going forward.

Your Rights

Under UK data protection law, and subject to certain conditions, you can:

  • Be informed about how we use your data (which this notice does).
  • Access the personal data we hold about you.
  • Request correction of data that is inaccurate or incomplete.
  • Request erasure of your data where there is no good reason for us to keep it.
  • Restrict or object to our processing, including processing based on legitimate interests.
  • Data portability - ask us to provide certain data in a reusable format, where this right applies.
  • Withdraw consent at any time where we rely on it (for example analytics).

We will respond within the statutory period of one month. To make a request, contact us at connect@linkovectis.com. We may need to verify your identity first.

How We Protect Your Data

Our website is built and managed on Google Cloud, with encryption in transit (HTTPS/SSL) as standard. The static site is served from a global content delivery network for speed, while the secure function that processes your contact-form enquiry runs in Google Cloud's London (UK) region; from there your enquiry is passed to our email provider, which may process it outside the UK under the safeguards set out above. Contact form submissions are validated and the security check is verified on the server before any message is accepted, and access to enquiry data is limited to those who need it. While no online service can be guaranteed completely secure, we maintain appropriate technical and organisational measures to protect personal data.

Changes To This Notice

We may update this notice from time to time. When we do, we will revise the "Last updated" date at the top. Where changes are significant, we will take reasonable steps to bring them to your attention.
